Front Desk

Fill more of the day without burying your front desk in reminders, recalls, missing forms and avoidable schedule checks.

Empty chairs start with missed admin

A full appointment book can still leave tomorrow’s day broken by unconfirmed visits, missing forms and gaps nobody offered to the waitlist. Recall patients disappear into old lists while the phone and inbox keep winning the front desk’s attention. This is for US companies with a live vacancy for a Receptionist, Medical Receptionist, Front Desk Coordinator, Scheduler, Medical Secretary, Patient Coordinator or Insurance Verification Coordinator.

What stops being done by hand

  • Reminders are drafted on your cadence without anyone rebuilding the list; your people approve each send.
  • Clear confirmations are prepared for write-back and reach the appointment record only after your approval.
  • Cancellations and no-shows create ranked waitlists and drafted offers; your people approve each send and book accepted slots.
  • Missing-form follow-ups are drafted in your wording for approval; completed forms reach the right record.
  • The recall list contains only patients who are due, not booked and not recently contacted.
  • Results, letters and referrals reach the right person without sitting in a general queue.
  • Missed calls become logged text-back work instead of disappearing into the day.
  • Tomorrow’s huddle starts with the appointments, gaps, missing paperwork and unconfirmed visits already visible.

The desk prepares these; your people approve them before anything takes effect:

  • An insurance eligibility inquiry is prepared for your clearinghouse or payer portal with questions payer answers often omit; your people run it.
  • New-patient details wait as a complete registration draft.

What stays with your people

A symptom never becomes a routine confirmation. Clinical language stops the administrative flow and goes straight to a person; nothing is confirmed or written back.

The Front Desk never books from the waitlist. It ranks the waitlist and drafts the offer for your approval; your scheduler books after the patient accepts.

The phone still belongs to people. Routine follow-up leaves the queue, while calls and conversations stay with the front desk.

Works with what you already run

Appointments, waitlists and recalls can come from Open Dental or Jane, with messages and documents arriving through Gmail or Outlook and tracking held in Google Sheets. Confirmations, eligibility checks and registrations are written as drafts first during the pilot. We can usually connect to systems with an API, a supported integration or a reliable export. We confirm access before proposing.

How the first two weeks go

Choose one appointment leak, such as confirmations or recalls, for a fixed-price pilot. We confirm access first; your ten-business-day pilot then runs on your own records read-only and prepares every outward action as a draft. We use your job ad to split the duties the desk takes on from those your person keeps and check two or three numbers you watch at the start and end. You check the recall or confirmation results against tests agreed on day one and make the go or no-go decision. You keep the configured workflow, record mapping and front-desk guide in your own account.
