Purchase order follow-up

Purchasing Desk

Catch changed quantities, late orders and price differences before they become shortages, invoice disputes or another day spent chasing suppliers.

A quiet order problem becomes tomorrow’s shortage

A supplier acknowledges less than you ordered, moves the date or changes the price, and the difference waits inside an email. By the time someone finds it, production is short or the invoice no longer matches the agreement. This is for US companies with a live vacancy for a Purchasing Coordinator, Purchasing Assistant, Purchasing Specialist, Procurement Specialist, Buyer, Expeditor or Materials Coordinator.

What stops being done by hand

  • Incomplete requisitions come back with the missing detail named.
  • Each order is marked sent, acknowledged, confirmed, changed or declined; an auto-reply never counts as confirmed.
  • Every open order shows whether it is still on its promised date.
  • Late and at-risk lines are ranked by what they hold up, with one expedite request per supplier drafted for approval.
  • Orders, receipts and invoices are already compared before a discrepancy reaches your person.
  • A changed price appears beside the agreed price and its source.
  • Each supplier status answer is drafted from the order record without another search and approved by a person.
  • Open orders and spend arrive together for review.

The desk prepares these; your people approve them before anything takes effect:

  • Approved requisitions become draft purchase orders ready for a person to raise.
  • Stock at its reorder point appears on a draft list with the known supplier and price.

What stays with your people

Supplier choice remains a buying decision. Where several suppliers could fill the need, you see price and lead time side by side and no order is prepared.

No purchase order commits the company by itself. The desk prepares the document; a person approves the spend.

Your terms are never renegotiated silently. Prices, minimums and lead times come from your agreements and remain unchanged.

Works with what you already run

Requisitions and receipts can come from Google Sheets, orders from QuickBooks Online or NetSuite, inventory from Shopify, and acknowledgments from Gmail or Outlook. Purchase orders and reorder lists are written as drafts first. We can usually connect to systems with an API, a supported integration or a reliable export. We confirm access before proposing.

How the first two weeks go

Choose one purchasing leak, such as acknowledgment checking or order preparation, for a fixed-price pilot. We confirm access first; your ten-business-day pilot then runs on your own records read-only and prepares purchase orders only as drafts. We use your job ad to split the duties the desk takes on from those your person keeps and check two or three numbers you watch at the start and end. You compare the caught differences and prepared work with tests agreed on day one and make the go or no-go decision. You keep the configured workflow, source mapping and purchasing guide in your own account.
