Dates slip while HR chases paperwork
A missing onboarding form blocks the new hire, an expiring credential appears too late, and a benefits window closes while the coordinator is handling something more urgent. The work is predictable, but the chasing and copying still consume the week. This is for US companies with a live vacancy for an HR Coordinator, HR Assistant, HR Administrator, Human Resources Coordinator or People Operations Coordinator.
What stops being done by hand
- Interview availability comes together across the panel and candidate time zones.
- Each new hire’s I-9 and W-4 stay visible, with missing-document follow-up drafted for approval.
- Work authorization, certifications and licenses surface before they expire.
- Benefits windows stay in view until enrollment is completed or the deadline passes.
- Introductory-period and review reminders are drafted for approval before managers receive them.
- Leave balances and absence totals are ready without carrying private medical reasons.
- Headcount, turnover and compliance reporting no longer starts from a blank spreadsheet.
The desk prepares these; your people approve them before anything takes effect:
- Applicant updates go out only after a person records the decision.
- New hires are prepared across the HR system, payroll and IT for approval.
- Each offboarding checklist is prepared for approval with access, equipment, final pay, COBRA and the Form I-9 retention date.
What stays with your people
No candidate is scored, ranked or screened. Applications are used for scheduling and recorded status only, keeping the hiring decision with your team.
Employee relations never enter the workflow. Grievances, harassment, discipline and performance matters stop immediately, with nothing drafted or tracked.
Policy still gets a human explanation. The HR Desk can name the document and deadline, but it never interprets policy or employment law.
Works with what you already run
Employee and onboarding records can come from Gusto, BambooHR or Google Sheets, with administrative messages handled through Gmail or Outlook. The HR Desk never writes directly to the HR system; reminders and new hire or offboarding actions are written as drafts first. We can usually connect to systems with an API, a supported integration or a reliable export. We confirm access before proposing.
How the first two weeks go
Choose one HR backlog, such as onboarding paperwork or credential expiry, for a fixed-price pilot. We confirm access first; your ten-business-day pilot then runs on your own records read-only and prepares messages or record changes as drafts. We use your job ad to split the duties the desk takes on from those your person keeps and check two or three numbers you watch at the start and end. You check every deadline and exception against tests agreed on day one and make the go or no-go decision. You keep the configured workflow, field map and operating guide in your own account.
